Terms and Conditions relating to the Exchange with Martin 2018
By using the online registration form to register for the Exchange, the participant(s) acknowledges and accepts these Terms and Conditions.
The Exchange Registration Form must be filled in truthfully and diligently.
Fees as outlined in the invitation are inclusive of all taxes and charges.
Once registration has been completed, an acknowledgement email with a Tax invoice will be sent.
Payments can be made via bank transfer or cheque.
Payments for the registration fees as detailed on the invoice must be received in full before the registration can be confirmed. If payment is not made as outlined in the invoice registration will be provisional.
Once payment has been received, an email confirmation of registration will be sent.
Cancellation of the Exchange registration will be possible before the following date by sending an email to firstname.lastname@example.org.
Cancellation before 10 September : 50% refund of registration fee
Cancellation after 11 September : No refund
All the refund payments will be released within 10 (ten) working days from the date of confirmation of refund.
After the Exchange cancellation deadline date, no refunds can be made; however, your registration fee can be transferred to a substitute participant from your organization.
Details of the replacement participant(s) must be made in writing by sending an email to email@example.com.
Substitution of registrations may be made at any time up to 7 (seven) days of the start of the Exchange.
Cancellation by Ember Blu
In the event that Ember Blu cancels the Exchange for any reason, you will receive a credit for 100% of the fee paid. You may use this credit for another Ember Blu Product/Service/Event to be mutually agreed with Ember Blu, within 2 (two) years from the date of postponement.
In the event that Ember Blu postpones the Exchange for any reason and the participant(s) is unable or unwilling to attend on the rescheduled date, you will receive a credit for 100% of the fee paid. You may use this credit for another Ember Blu Product/Service/Event to be mutually agreed with Ember Blu, within 2 (two) years from the date of postponement.
Except as specified above, no credits will be issued for cancellations. There are no refunds given under any circumstances.
Ember Blu is not responsible for any loss or damage as a result of a substitution, alteration or cancellation/postponement of the Exchange. Ember Blu shall assume no liability whatsoever in the event the Exchange is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of the Exchange impracticable, illegal or impossible. For purposes of this clause, a fortuitous event shall include, but not be limited to: war, fire, labor strike, extreme weather or another emergency.
Alterations to Program
Ember Blu forecasts the date and venue based on a confirmation from Third Party confirmation. In case the Service Provider(s) fails to accommodate us on confirmed dates Ember Blu holds the rights to reschedule the Exchange date. In such event Ember Blu will inform you the changes in prior.
In case of unforeseen events Ember Blu deserves the right to change the speakers and/or topics, confirmed at the time of publishing or event line up without any prior notice to the participants. However, Ember Blu will ensure to accommodate same level of speakers on the subject matter.
As such, Ember Blu deserve the right to alter or modify the advertised speakers and/or topics if necessary without any liability to the purchaser whatsoever. Any substitutions or alterations will be updated via email as soon as possible and with this registration, you accept that it will not be a cause for a refund (full or partial) on the registration fee.
Views expressed by speakers are their own. Ember Blu cannot accept liability for advice given, or views expressed, by any speaker at the Exchange or in any material provided to participants.
As there will be no pre-organized seating arrangement Ember Blu strongly advice/encourage all participants to sit with different organizations than your own. The intention of this is to enable and encourage Exchange participants to interact with each other for networking purposes.
Filming and Photography
Participants are not allowed to any form of photography/video or live streaming of the Exchange proceedings. In case of such incident and you violate other participants motives / interrupt their privacy Ember Blu will not be held responsible for your Loss or Damage.
Usage of photographic and video material taken at the Exchange
Ember Blu may take photographic and video material of participants at the Exchange. In registering for the Exchange, you acknowledge that we may include images of yourself intact or in part for material used in various publications, press releases, promotional activities, or other related endeavors. This material may also appear on the Ember Blu’s internet web page or related social media pages.
Usage of Social Media to Share Information
Ember Blu discourages the use of Social Media by participants, any form of video or live streaming of the Exchange proceedings. In case of such incident and you violate other participants motives / interrupt their privacy Ember Blu will not be held responsible for your Loss or Damage.
As a courtesy to other participants, as well as to presenters/panelists, we ask that you follow accepted etiquettes.
- Mute your cellphone/laptop/tablet volume to avoid disrupting the Exchange proceedings.
- Remember that unpublished data presented at the Exchange should be regarded as confidential and should not be published.
Please do not;
- Capture, transmit or redistribute data presented at the Exchange - this may preclude subsequent publication of the data in a scholarly journal and/or patent protection.
- Use offensive language.
- Engage in rudeness or personal attacks.
Services provided by others
Ember Blu makes various arrangements with local and international companies, hotels, restaurant reservations, meals, transport, insurance. Ember Blu cannot guarantee the timing, availability or pricing of any particular event or venue, all of which are under the control of third parties. There may be changes to the itinerary, arrangements, and prices at any time in response to circumstances, weather, availability, and feasibility.
Ember Blu is not responsible for others
Ember Blu is not a travel agent or tour operator and cannot accept legal responsibility for participant(s) under any consumer protection laws, either to protect you against the insolvency of any operator or facility or for the negligence of the institute or its employees.
Contact information is collected when you fill out the form used to register at the Exchange.
The information we collect from you is used to better serve your needs by responding to your request in the briefest time possible.
We do not sell, trade, or otherwise transfer to outside parties your personal information. This does not include trusted third parties who assist us in operating our website, conducting our business, or serving you, so long as those parties agree to keep this information confidential. We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect ours or others rights, property, or safety.
Code of Conduct
We recognize the inherent worth of every participant by being respectful to them. All forms of communication should be appropriate for a professional audience including people of different backgrounds.
Ember Blu will try to accommodate special requirements. Please inform us of the details.
For your own protection you must take out travel insurance covering (at least) the risk of cancellation, health or sickness problems, travel disruption or delay, repatriation in case of death illness or injury, loss or damage to belongings, third party liability and injury of accident, for each of you or your party. Ember Blu will not take out any insurance on your behalf, however, Ember Blu will acquire a third party general cover policy for the Exchange.
All the participants who are not Maldivian Nationalities should be on Business Visa or should be a work permit holder in the Maldives with proper validity and should be proven in a document at the registration stage.
In case where such proof of document is demanded for a Safety Requirement by Security, legal or local authorities during the Exchange participants should be able to proof their identity.
If you have any complaints about the Exchange, you should make this in person to Ember Blu during the Exchange or, if applicable, to a host. This complaint should be confirmed in writing to Ember Blu within 5 days of the Exchange at firstname.lastname@example.org.
